VoiceDog Terms of Service
Last updated: November 5, 2026
These terms are an agreement between Ghazali, Inc. ("we", "us") and the business that signs up for VoiceDog ("you", "the customer"). The person who accepts them confirms they are at least 18 and allowed to accept them for the business.
The service is only for businesses in the United States that are not health-care practices and do not bill health insurance. You confirm both when you create a business.
The Privacy Policy and the Acceptable Use Policy are part of these terms.
1. The service
VoiceDog is an AI receptionist that answers phone calls for your business. It can:
- greet callers and say it is an AI;
- answer questions using the business facts you approve;
- take callers' details and messages for you, and a voicemail when your plan's call time is used up (section 6);
- offer open times and book appointments on your Google or Outlook calendar, if you connect it and turn booking on, and move or cancel them when you allow callers to;
- put a caller through to a person at a number you approve, when the caller asks;
- once the service offers it, ring one number you approved when our system cannot answer a call (the first approved number that is on for this and may be rung then), unless you turn this off for a number;
- once the service offers it, record calls if you turn it on, after telling the caller "This call is recorded.";
- if you turn it on, text a caller about the appointment they booked;
- let you and your team text a caller who called or texted you in the last 30 days, at a US number;
- once the service offers it, call a caller back from your business's number when you tap Call back, after ringing your approved phone first;
- show you each call's summary, transcript and outcome in the owner app, with its recording once the service offers it, and send call details to the tools you connect;
- let you share one call by a private link that works for 30 days;
- show names from your phone's contacts next to calls, if you turn on Contacts;
- keep notes and photos on a caller, summarized with AI;
- write a daily summary of your calls with AI;
- suggest business details from your website or, once the app offers it, from a Teach by talking call, for you to review;
- answer your questions about the app and about your business's calls, bookings and figures with an AI assistant, if you allow it.
It places calls of its own only to numbers you add or own, or to a caller who called you: to put a caller through or ring through to a number you approved, to confirm a number you add with a six-digit code, to check your call forwarding when you ask it to ("Check forwarding now"), and, once call back is offered, to call a caller back when you tap Call back. It does not send marketing messages.
Features may change. We will tell you before we remove a feature you pay for.
2. Your account
- Keep your sign-in secure. You are responsible for activity under your account.
- Give us accurate account and contact information and keep it current.
- Only people you authorize may use your account.
3. Your responsibilities
You are responsible for:
- Accurate business facts. The receptionist tells callers what you publish: prices, hours, services, service area and answers to questions. Review and keep them current. You must review changes before you publish them.
- Your callers. You decide to use an AI receptionist on your phone line. You must give callers any notice, and get any consent, that the law requires where you and they are. This includes notice that they are talking to an AI and that calls are transcribed and stored.
- Lawful use. You must follow the laws that apply to your business and your calls, and the Acceptable Use Policy.
- Your calendar. You choose which calendar to connect. You are responsible for the appointments booked on it and for honoring them.
- Your phone setup. Forwarding your calls to VoiceDog happens through your own phone provider. You are responsible for that setup and its costs.
- Following up. The receptionist takes messages but does not act on them. Check your inbox and follow up with callers.
- Recording and texts. If you turn on texts to callers, or recording once the service offers it, you are responsible for any notice and consent the law requires beyond the sentence the receptionist says.
- Numbers you approve. You may approve only numbers you are allowed to send calls to.
- Destinations you connect. You choose where call details go when you connect a spreadsheet, a Zapier or Make address, your own web address or an AI assistant. You are responsible for those destinations and for your own notices to callers about them.
- Texts you write. You are responsible for what you and your team text to callers, and for any consent the law requires. Texts go only to US numbers, only within 30 days after the caller called or texted you, never after the caller replied STOP, and a text written outside 9 AM to 8 PM in your time zone waits until 9 AM unless the caller texted in the last two hours.
- Calls you share. You choose who gets a link to a call. Anyone who has the link can open it until it ends or you stop it. You are responsible for sharing callers' information only where the law allows it.
- Contacts, notes and photos. If you turn on Contacts, you must be allowed to use your contacts' names this way. Do not put in notes or photos anything section 4 lists.
4. Sensitive information
VoiceDog is not designed for protected health information, payment card data, or other highly sensitive information. It is not offered to health-care practices or to businesses that bill health insurance, and we do not sign business associate agreements. You must not use it to collect or store:
- protected health information as defined by HIPAA;
- payment card numbers, bank account numbers, passwords or verification codes;
- government identification numbers.
We make no claim that VoiceDog meets HIPAA or any other health, payment or industry standard.
5. The AI can make mistakes
- The receptionist is an AI system. It can mishear callers, misunderstand them, or say something wrong. Its transcripts and summaries can be incomplete or wrong.
- It is instructed to use only the facts you approve, but it may still make errors.
- It may fail to answer a call, or a call may drop, because of problems with phone networks, our providers or our systems.
- A booking is final only when the app shows it as confirmed. Check your calendar and inbox.
- Not for emergencies. VoiceDog must not be used as a way for anyone to reach emergency help. It does not contact emergency services. The receptionist is instructed to tell callers in an emergency to contact local emergency services.
You should review calls and not rely on the receptionist alone for anything important.
6. Plans, usage and payment
- Plans. Each plan includes an amount of AI call time per billing period, a maximum call length and a number of calls that can be answered at once, as shown on our pricing page or in your order.
- What counts as usage. Usage is the answered time of each call handled by the AI, from when the call is answered until it ends or is handed to a person. We measure it in seconds and show it in minutes. Calls shorter than 10 seconds are not counted. Test calls you make from the app within your monthly test allowance are not counted. Calls our system fails to connect to the AI are not counted.
- When the allowance runs out. A call already in progress is never cut off because the allowance runs out. After that, unless you have turned on overage, new callers hear a short message that the business cannot take the call right now and may be invited to leave a voicemail, which is recorded and kept like a call recording; you see the missed call or the voicemail in the app. We notify you before and when you reach your allowance.
- Overage. You can choose to allow extra usage at the overage rate on your plan, up to a monthly limit you set. We will not charge overage you have not turned on. Overage is not available on a subscription through the App Store or Google Play.
- Unused time. Unused time does not carry over to the next billing period.
- Billing. Fees are billed in advance for each billing period through our payment processor, Stripe, or, if you subscribe in our iPhone or Android app, by Apple or Google. Overage is billed after the period ends. Fees do not include taxes, which you pay.
- Failed payment. If a payment fails, the service keeps answering calls for 7 days. We tell the business's owners when the payment fails, remind them before the service would stop, and tell them if it stops and when payment goes through again, by push notification and email. After the grace period we may suspend the service until payment is made.
- Trial. A new business may try the service free for its first month. To start, you choose a plan and add a payment method, and you are not charged until the trial ends. The trial includes your plan's minutes, up to 500: 100 on Solo, 400 on Solo Plus, and 500 on Team and Team Plus. Extra minutes are off during the trial. We charge the plan's price on the date shown when you start, the day the trial ends, unless you cancel before then, and we remind you at least 3 days before that charge. If you cancel before then, you pay nothing. If you subscribe in our iPhone or Android app, Apple or Google takes the payment, the store's own terms for its free trial, renewal and cancelling apply, and you cancel in your App Store or Google Play subscription settings. Each business gets one trial.
- Price changes. We will tell you at least 30 days before a price change takes effect. It applies from your next billing period.
- Refunds. After the trial, plans are paid monthly in advance. If you cancel, the service continues to the end of the period you paid for and we do not refund the rest of it, except where the law requires a refund. If we end the agreement without cause, or the service is unavailable for most of a billing period because of us, we refund the unused part of that period of a payment made to us. Charges for extra minutes you used are not refunded unless we counted them wrongly (section 11). If you pay through the App Store or Google Play, refunds of those payments are Apple's or Google's to give under their own rules: you ask Apple through its Report a Problem page, or Google through your Google Play order history, and we follow their decision.
- Usage disputes. If you think a call was counted wrongly, tell us within 30 days. We will review it and correct the record if we agree.
- Service safety limits. To protect the service, we may temporarily limit calls for all customers if our overall capacity or provider spending reaches a safety limit. Calls turned away for this reason do not count against your allowance.
7. Your data
- You own your business information and your call data. You give us permission to use it to provide, secure and support the service, as the Privacy Policy describes.
- Callers' information. We process your callers' information on your behalf and on your instructions, which are these terms and your settings. We use it only to provide and support the service, keep it confidential, protect it with reasonable security, use the providers listed in our privacy policy (and tell you before adding one), help you answer a caller's request about their information, tell you without undue delay of a breach that affects it, and delete or return it when the agreement ends as section 10 describes. We do not sell or share it, and we do not combine it with other businesses' data except in de-identified form (section 7). We offer a separate data processing addendum on request.
- We may create information that is de-identified, so that it cannot reasonably be linked to you, a person who uses the app or a caller, and use it to run and improve the service. We keep it that way, do not try to re-identify it, and require anyone we share it with to do the same.
- You can export your call data and business configuration from the app.
- You can delete your account from the app. See section 10.
8. Suspension
We may suspend all or part of the service, with notice where we reasonably can, if:
- payment is overdue past the grace period in section 6;
- you break these terms or the Acceptable Use Policy;
- your use creates a risk to callers, to other customers, to the service or to our providers, or exposes us to legal liability;
- the law or a provider requires it.
We will limit the suspension to what is needed and restore service when the issue is fixed. During a suspension, callers hear the short message described in section 6.
9. Ending the agreement
- You can cancel at any time in the app or by contacting [email protected]. A subscription through the App Store or Google Play is cancelled in that store's subscription settings; we cannot cancel it for you. Service continues to the end of the paid billing period. Refunds are in section 6, item 10.
- We can end the agreement with 30 days' notice for any reason, or right away if you seriously or repeatedly break these terms or the Acceptable Use Policy.
- Sections that by their nature should continue after the agreement ends will continue, including payment owed, data deletion, limits of liability and disputes.
10. Data after the agreement ends
- When an owner deletes the business in the app, the deletion waits 14 days, during which it can be canceled and you can download an export of your data. After the agreement ends for another reason you have 30 days to export your data.
- We then cancel the subscription, release the phone number, delete our calendar tokens and ask Google to withdraw its access, ask our phone provider to delete its call and text records, and delete your account data, business configuration, call records, transcripts, recordings, voicemails, messages, texts, notes and the names from your contacts. Microsoft offers no way for us to withdraw access; remove the app in your Microsoft account. When email is available, we email a receipt that says what was kept and which steps a provider did not confirm.
- Deleted data leaves our backups within about 92 days.
- We keep billing records for 7 years and the phone number's history for 1 year to meet legal and accounting obligations, and anything else the law requires us to keep.
- Appointments already added to your Google Calendar stay there. They are your calendar's events. Remove VoiceDog from your Google Account's third-party access to end our access on Google's side.
11. Our providers
The service depends on third parties, named in the Privacy Policy, section 7: Twilio for phone service, OpenAI for the AI models, Google and Microsoft for calendars, Clerk for sign-in, Stripe, Apple and Google for payments, Expo and Resend for notifications, and a hosting provider. Their outages or changes can affect the service. We are not responsible for their services, but we will work to limit the effect on you.
12. Changes to these terms
We may change these terms. We will post the new terms with a new effective date and, for significant changes, tell you at least 30 days before they take effect. If you keep using the service after that, the new terms apply. If you do not agree, you can cancel.
13. Standard terms
- Warranty disclaimer. We do not promise that the service will always be safe, secure or error-free, or that it will work without interruptions, delays or imperfections. We disclaim all other warranties and conditions, whether express or implied, including the implied warranties and conditions of merchantability, fitness for a particular purpose, title and non-infringement. These disclaimers apply to the maximum extent the law allows.
- Limitation of liability. Neither party will be liable to the other for lost profits or revenues, or for consequential, special, indirect, exemplary, punitive or incidental damages relating to these terms, even if it was told of the possibility of that damage in advance. Each party's total liability for all claims relating to these terms will not be more than the fees you paid us for the service in the 12 months before the claim arose. The cap does not reduce what you owe us in fees. Nothing in these terms limits or excludes a party's liability to the extent the law does not allow it, or for its gross negligence, willful misconduct or fraud.
- Indemnity. You will defend us against a claim made by someone other than you, and pay the damages and costs that a court finally awards or that you agree to in a settlement, if the claim arises from your business facts, your notices and consents to callers, or use of the service that breaks the Acceptable Use Policy. We will defend you against a claim made by someone other than you that the service, used as these terms allow, infringes that person's copyright, patent or trademark, and pay the damages and costs that a court finally awards or that we agree to in a settlement. The party being defended must tell the other promptly of the claim, let it control the defense and settlement (but it may not settle in a way that admits fault by the party being defended without that party's consent), and give reasonable help at the other's cost. We do not owe a defense for a claim that arises from your content or business facts, or from combining the service with something we did not provide. This section is each party's only remedy for the claims it covers.
- Governing law. Delaware law governs these terms and every dispute about them, without regard to its conflict-of-laws rules.
- Disputes. Any suit, action or proceeding about these terms must be brought in the state or federal courts located in Delaware, and each party irrevocably submits to the exclusive jurisdiction of those courts.
- Service levels. No service level applies: we do not promise an uptime or a response time.
- Assignment, force majeure, notices, entire agreement, severability, no waiver. Neither party may assign these terms without the other's written consent, except that either party may assign them on notice if it merges with another company or sells all or substantially all of its assets. Neither party is liable for a delay or failure to perform, other than a failure to pay, that a cause beyond its reasonable control brings about. A notice to you may be sent to the email address on your account or shown in the app, and a notice to us goes to the contact details in section 14; a notice by email is given when it is sent. These terms, with the Privacy Policy and the Acceptable Use Policy, are the whole agreement between us about the service. Except as section 12 lets us change these terms, a change or waiver must be in writing and accepted by both parties, in the app or by email. If a court finds a term unenforceable, the rest stay in effect. A party's failure to enforce a term or to exercise a right is not a waiver of it.
Common Paper Cloud Service Agreement (Version 3.0) free to use under CC BY 4.0. Items 1 to 5 and 7 of this section are adapted from it; we changed the wording to fit these terms.

15. Text messages to callers
This section is for people who call a business that uses VoiceDog; in it, "you" means the caller. The business sends the texts, from its VoiceDog number, through our service. VoiceDog is provided by Ghazali, Inc.
- What you may get. If you book an appointment on a call and say yes when the receptionist asks whether it may text you, the business may text the number you called from, about that appointment only: a confirmation and, if the receptionist named them, a reminder the day before and one message after the visit asking for a review. If you move or cancel it by phone, you get one text confirming that. Within 30 days after you said yes on a call, or after you text the business, the business may also write to you by text from the same number, about your enquiry or appointment. Once the service offers it, the business's AI receptionist may write these texts, and its first one says it is an AI. The business does not start a text conversation with a number that has not called or texted it. These are not marketing messages.
- How you agree. On the call, after your appointment is booked, the receptionist asks whether it may text you, and tells you that message and data rates may apply and that you can reply STOP or HELP. The business texts you only if you say yes. If you say no, or do not answer, the business sends no texts about that appointment, then or later. Agreeing to texts is not a condition of booking an appointment.
- How often. Message frequency varies with your bookings and conversations. It is one confirmation for each booking, one reminder for each appointment time, one text for each change you ask for, at most one review request to a phone number in 180 days, and other texts only about your appointment or in a conversation you started. Message and data rates may apply.
- Stop, start and help. Reply STOP to any text to stop texts from that business. Reply START or YES to get them again. Reply HELP for help, or write to [email protected].
- Delivery. Carriers are not liable for delayed or undelivered messages.
- Where. Texts go only to numbers in the United States.
- Your information. How we handle your number and these messages is in the Privacy Policy. No mobile information or messaging consent will be shared with third parties or affiliates for marketing or promotional purposes.
